Coming soon. This tool isn't switched on for your company yet - but you can read up in advance. The guide reflects how it will work on your Brundo instance.

What is Easy!Appointments?

Easy!Appointments gives your business a public booking page: clients pick a service, a staff member and a free time slot, and book themselves in. Confirmation and reminder emails go out automatically. It replaces Calendly, Acuity or SimplyBook.me - and most of the phone tag.

How it works: you define three things in the admin - services (what can be booked, how long, what it costs), providers (who delivers them) and working plans (when each provider is available). The booking page combines these and only ever offers slots that genuinely work. Bookings sync to Google Calendar if connected.

Getting started (admin setup)

  1. Log in to the admin at your instance's /index.php/backend address (Brundo provides credentials).
  2. Create your services: Services → Add. Name, duration, price, and an optional description clients see while booking.
  3. Add providers: Users → Providers → Add. Each provider gets the services they can deliver ticked.
  4. Set working plans: on each provider, define weekly hours and breaks. This is what generates available slots.
  5. Test it: open the public booking page, book a dummy appointment end-to-end, and check the confirmation email arrives.

Buffer time: if you need gaps between appointments (cleanup, travel, notes), build the buffer into the service duration - a 50-minute session sold as a 60-minute slot.

Core concepts

Services

The bookable things. Keep names client-friendly ("Initial consultation - 30 min"), not internal jargon.

Providers

The people (or rooms/resources) appointments are booked with. A provider only shows for services assigned to them.

Working plan & breaks

Each provider's weekly schedule. Exceptions (holiday, one-off closure) are handled per date - set them as soon as you know.

The booking flow

Client picks service → provider (or "any") → date and slot → enters contact details → gets email confirmation with a manage link to reschedule or cancel.

Everyday tasks, step by step

Book an appointment for a client who phoned in

  1. Admin → Calendar → click the desired slot.
  2. Pick service and provider, enter the client's name/email/phone.
  3. Save - the client receives the same confirmation email as self-booked clients.

Handle a holiday or closure

  1. Open the provider's settings → working plan exceptions.
  2. Add the dates as unavailable. Existing bookings on those dates must be rescheduled - call those clients first.

Reschedule a client

  1. Calendar → find the appointment → drag it to the new slot (or edit and change time).
  2. The client is notified automatically; a courtesy call is still good service for same-day changes.

Put the booking page on your website

  1. Link the booking page URL from your site's "Book now" button, or embed it in an iframe.
  2. Brundo can theme the page to match your brand - ask us.

Tips & good habits

  • Keep the service list short - 3–7 clear options convert better than 20 confusing ones.
  • Reminders reduce no-shows dramatically; make sure reminder emails are enabled and worded warmly.
  • Review the calendar every morning - it's the day's ground truth.
  • Record no-shows in the client's record; patterns inform a deposit policy.
  • Set working-plan exceptions the moment holidays are approved, before slots get booked.

Troubleshooting & FAQ

A client says there are no free slots. Check the provider's working plan covers the dates, the service is assigned to them, and the slot length fits the remaining gaps in the day.

Confirmation emails aren't arriving. Have the client check spam first. If it's systematic, contact Brundo - we'll check the mail configuration.

Can clients cancel by themselves? Yes, via the link in their confirmation email. You can require a minimum notice period in settings.

Two-way Google Calendar sync? Providers can connect their Google Calendar so bookings appear there and busy blocks reduce availability. Set it up per provider in their settings.
